The Welcome step, the portal tour and the setup guide

What you see when you first sign in to the portal, the setup guide that walks you through each step to your first live signature, the short tour of the portal, and how to turn them on or off for yourself or someone else.

Last checked against Footer365 on 29 October 2026

The first time you sign in to the portal, a Welcome card greets you by name, with a signature drawn from your own name, job title and organisation in Microsoft 365. What comes next depends on whether you can set your organisation up.

  • If you can set your organisation up and it is not finished yet, the Welcome card asks How much help would you like? and leads to the setup guide. You can set it up if you are a Super Admin or your role lets you manage settings or signatures.
  • Otherwise it offers a short tour of the portal: Start the tour, or Not now.

A reseller working in your portal on your behalf is never shown either.

The setup guide

The setup guide takes you through the steps of the Getting started page, in the same order, under the same names and with the same numbers, to your first live signature. A step done on a page your organisation does not have yet is left out of both, and the steps after it are numbered on without a gap. Each step is ticked when it is really done, however you did it, so a step done on another page, or by a colleague, is ticked too. A step your organisation marked Not needed on the Getting started page is ticked as well. See The Getting started page.

On the Welcome card, choose how much help you would like, then select Let's get started:

  • Show me every step goes straight to the next step and shows you how to do it, on the page where it is done.
  • Just the essentials opens the guide's list, and you choose when to be shown anything.

I will look around myself closes the Welcome card. The guide waits at the bottom right of every page either way. Your choice is remembered in that browser.

Using the guide

  1. Select Setup guide at the bottom right of any page. The red number on it is how many steps are left. It is not shown in the template, campaign or shared block editors, or in the template, campaign and rule wizards, which need the whole window.
  2. The guide, Get your signatures live, lists every step. Finished steps are ticked, and the step the Getting started page marks Next is open, with a picture and a sentence on why it matters.
  3. Choose how to do it:
    • Show me how takes you to the page where the step is done and points at what to press. It waits for you to do it, and never moves on by itself.
    • Read the guide opens the help article for that step in a new tab.
    • I will do it myself closes the guide.
  4. When a step is done, a card says so, shows how far you have got, and offers the next step. Show me the next step goes straight on, and Later leaves it for now.

What Show me how does for each step:

  • Steps 1, 2, 3 and 5 (Microsoft 365 access, Exchange Online, the directory sync and the Outlook add-in) open the connection wizard, which walks you through them itself.
  • Step 4, choose who is synced, opens Users and groups with Sync settings open, and points at Save.
  • Step 6, everyone's own Outlook signatures, and step 7, plain-text email, point at their buttons on the Getting started page.
  • Step 8 opens the template wizard at its second step, with an everyday signature for any industry already chosen, so you start by picking a design. Back returns to the first step if you want a different kind. See Build a template with the wizard.
  • Step 9 opens Signature rules and points at New rule, then at Save rule. Where Footer365 has given your organisation the rule wizard, it opens the wizard instead, which asks its own questions. See Make a rule with the wizard.
  • Step 10, add a colleague, opens Users and points at the button that adds someone.
  • Step 11, check your company contacts, opens Settings and points at the Contacts card.

A step you cannot do yourself, because your role does not let you change it, has no Show me how. Someone whose role lets them change it does it.

With Show me every step, the guide also shows you round the signature editor once the template wizard has made your first template:

  1. A card introduces your template, then asks for three things in turn: dragging Mobile onto your signature, picking a colour under Colour, and saving.
  2. Skip this part passes over one of them, and Skip tips stops the walk-through.
  3. After you save, the guide offers the next step. When that is the signature rule, Show me the next step opens a rule for everyone using your new template, with every detail filled in, so you only need to press Save rule.

Hide the guide closes it, and Setup guide opens it again. Do not show this again turns the guide, the Welcome card and the tour off. The guide stops by itself once every step is done.

On a phone, the guide opens as a sheet along the bottom of the screen.

The portal tour

The tour shows you round the portal. It dims the page and lights up one part at a time, in order, each on a card with a picture and a few words: Getting started, Templates, Signature rules, Campaigns, Users and groups, the search box, the help mark beside each page's title, and the menu under your name. It takes about a minute.

The tour only points at parts of the portal you have. A part your role, your portal view or your organisation's pages leave out of your menu is left out of the tour, and the count at the top of each step says how many steps you will see.

Moving through the tour

  • Next moves to the next step, and Back to the one before. The last step's button is Finish.
  • The cross at the top right, Skip the tour, closes the tour for now. Pressing Escape does the same. It comes back the next time you sign in, or when you open the portal in a new browser tab. Not now on the Welcome card works the same way.
  • Do not show this again closes the tour and turns it off.
  • Finishing the tour turns it off too, so it is not shown again unless you turn it back on.

The page under the tour cannot be clicked while it shows, and the tour never changes anything.

The Welcome card and the tour do not start by themselves on a narrow window, such as a phone, where a part of the page and the words about it cannot both be seen. They wait until you sign in on a wider window. They do not start by themselves in the template, campaign or shared block editors either.

Take the tour again

  1. Select your name at the top right of the portal.
  2. Select Take the tour. It starts at once, on the page you are on.

Turn the tour on or off for yourself

  1. Select your name at the top right of the portal.
  2. Select Show the tour when I sign in. The switch beside it shows whether the tour is on.

With the switch on, the Welcome card starts on the next page you open, and at each sign-in until you finish or close it. Turning the switch off also turns off the setup guide.

Turn the tour on or off for someone else

Anyone who can manage portal access on the Users page can set the tour for each person who has their own access.

  1. Go to Access > Users (open it). Under each person's portal view:
    • Tour due means they will see the Welcome card when they next sign in.
    • Tour off means they will not, and nor will they see the setup guide.
    • Nothing is shown for someone who has finished it.
  2. Click the person's row. Manage access opens.
  3. Under Tour, choose Show at next sign-in or Do not show, and select Save.

The person can take the tour again, or turn it off, themselves at any time. Every change to someone's tour, whoever makes it, is recorded in your audit log.
