The switching offer
How to claim up to 4 months free, including your trial, when you move to Footer365 from another email signature product, how the free months come off your invoices, and what cancelling costs.
If you are moving to Footer365 from another paid email signature product, you can claim up to 4 months free, including your free trial. The closer your current contract is to its renewal, the more months are free. You claim in the first 14 days of your trial, under Billing, with your current supplier's latest invoice or renewal notice. The full terms are on the switching offer page of the Footer365 website.
Its terms are section 6.8 of the Customer Agreement.
How many months
The months are counted from the day you claim to the renewal or end date of your current contract, and include your 30-day free trial, which counts as the first free month:
| Months left on your current contract | Free in total, with your trial | Monthly credits after your trial |
|---|---|---|
| None, or up to 4 | 4 months | 3 |
| More than 4, up to 8 | 3 months | 2 |
| More than 8, up to 12 | 2 months | 1 |
| More than 12 | Your trial only | None |
Your 12, 24 or 36-month term starts when your trial ends, as for any trial, and is not extended by the offer: the credited months are part of it. The free months come on top of the charity, education and public sector discount and the discounts for two and three-year terms.
How the free months come off your invoices
Each month after your trial is given as a monthly credit on an invoice raised after your claim is approved. Footer365 invoices each month in advance on the 1st, and every invoice that carries a credit shows the normal line for your plan and seats with a line under it, Switching Offer Discount - Month 1 (then Month 2, and so on), taking off that month's charge for your plan and seats before VAT. One credit goes on each invoice until they are all used.
Only the whole month's plan charge is credited. Anything else on the same invoice is charged as normal: the days between the end of your trial and the first full month, seats added during a month, and any other adjustment.
For example, if your trial ends on 14 November and your 4 months are approved during the trial, your 1 December invoice charges 15 to 30 November and credits December as Month 1, and your January and February invoices are credited as Months 2 and 3. Your March invoice is the first full charge.
An invoice that comes to nothing is never charged to your card. It shows Nothing to pay under Billing > Invoices.
Who can claim
Any organisation that uses a paid email signature product for Microsoft 365 from another supplier, or stopped using one in the last 12 months. Free tools, Outlook's own signatures and signatures made by hand do not count. Each Microsoft 365 organisation can be given the offer once, and claims in the first 14 days of its free trial.
The offer is for a committed term of 12, 24 or 36 months. A monthly subscription has the free trial only.
If you buy through a reseller, your reseller claims for you, on your page in its portal. Your own portal then shows the claim, saying your reseller made it. The credits go on your reseller's invoices from Footer365, and your reseller agrees not to charge you for those months.
Claim it
Only a Super Admin, or someone whose role can manage billing, can claim, signed in as themselves.
- Go to Billing > Invoices (open it). While your trial runs, the Switching offer card is at the top. Its form is shown in the first 14 days of the trial: the day your trial starts is day 1, and the card names the last day you can claim. After day 14 the card says the offer can no longer be claimed.
- Choose your current supplier and the term you want.
- Enter the renewal or end date of your current contract, or tick that you are already out of contract.
- Upload your supplier's latest invoice or renewal notice, as a PDF, PNG or JPEG of up to 10 MB. It must show the supplier, the product, your organisation and the renewal or end date. If you are out of contract, upload an invoice from the last 12 months.
- The card shows the free months you would get, including your trial, and how many monthly credits that is. Read the sentence setting out what claiming commits you to and what a refusal means, and tick it.
- Select Claim the offer.
Claiming chooses the term you picked for your subscription. Use Read the terms on the card to open the full terms first.
Because claiming commits your organisation to a term, Footer365 asks you to accept any updated agreements waiting from your trial first. Until they are accepted, Billing > Invoices shows Please accept the updated agreements. above the offer with a Review and accept button. You can still claim the offer without accepting them: they then reach your organisation on the date the review page shows. See Your agreements and how changes to them work.
You are reminded of the offer along the way: the term step of signing up mentions it, the connect wizard links to Billing > Invoices once Microsoft 365 is connected, and an email on day 10 of your trial reminds you of it until you have claimed.
Add a card before your trial ends
Your trial is not extended while a claim is checked. It ends on its date, and your subscription starts as for any trial, so you still need a payment card by then: without one, signatures pause until a card is added. If the trial ends before the claim is approved, you are invoiced as normal, and once it is approved the credits come off the invoices raised after the approval. You do not lose any of them because the trial ended first, but a claim must be made in the first 14 days of the trial.
While the claim is checked
The card shows Being checked and the day the claim will be decided by. Footer365 decides it within 7 days of the day you made it (Customer Agreement 6.8 (b)), and emails your account owner and accounts contact the result. If that day passes without a decision, the card shows Decision overdue instead, and you can withdraw the claim as below.
When it is approved, the card shows the credits as a timeline: your trial, each monthly credit, given or still to come, and the rest of your term. The email approving it says how many monthly credits you have and that they appear on your next invoices. An administrator may approve fewer months than the card showed if the proof shows a later renewal date. You then have fewer credits, or until your trial ends you can withdraw the claim, as below.
If the proof does not show what is needed, the card shows Not approved with the reason, and you are emailed it. Your subscription goes back to the billing option it had before you claimed. If your trial had already ended, your next invoice also charges the difference between that option's price and the committed price for the days already invoiced at it. If you had already cancelled while the claim was checked, nothing more changes, because leaving then was already charged at the monthly price. Until day 14 of your trial, you can claim again with new proof.
Withdraw your claim
You can withdraw your claim yourself in two cases (Customer Agreement 6.8 (b) and (e)):
- It was approved for fewer months than the card showed, for example because the proof shows a later renewal date. You can withdraw it until your free trial ends.
- It was not decided within 7 days of the day you made it. You can withdraw it until it is decided.
In either case the Switching offer card under Billing > Invoices shows Withdraw the claim. Only a Super Admin, or someone whose role can manage billing, signed in as themselves, can use it. Someone working in your portal on your behalf cannot. Select it, then Withdraw the claim again in the window that opens, or Keep the claim to leave it.
Your subscription then goes back to the billing option it had before you claimed, and no credits are given. If your trial had ended and an invoice already charged the committed term's price, your next invoice charges the difference between that price and the price of the option you go back to. The card shows Claim withdrawn, and your account owner and accounts contact are emailed. If you buy through a reseller, your reseller withdraws the claim for you, on your page in its portal.
If the proof was not true
If Footer365 finds after approving a claim that its proof was not true or not your organisation's own, it withdraws the offer and emails your account owner and accounts contact the reason, and your reseller too if it claimed for you. The credits still to come stop, and your next invoice charges back the credits already given. Your term carries on as chosen.
What you commit to
Claiming commits your organisation to the term you chose.
- Cancel on or before the last day of your trial: you pay nothing, and the claim lapses.
- Once your trial has ended with your claim approved: you are in a committed term like any other, and you cancel it as any committed term is cancelled, with the fees for the rest of the term still payable. See Cancel your subscription. If you choose to pay the rest of the term at once, the credits still to come are taken off that invoice, each as a Switching Offer Discount line. If you keep the service to the end of the term, the credits are given on its monthly invoices as usual.
- If your claim is not decided within 7 days of the day you made it: until it is decided, you can withdraw it, as above. Once your trial has ended you can instead cancel: your committed term is cancelled, and no fees are payable for the rest of it. You then pay what a monthly subscription would have cost: the monthly price for your seats for every day from the day after your trial ended to your last day, each day at the monthly price divided by the days in its month, less the fees invoiced, or to be invoiced, for those days after any credit. It is never less than nothing. It is invoiced when you cancel, due within 14 days, and charged to your card (Customer Agreement 6.8 (e)).
To cancel after a late decision, go to Account > Cancel subscription. Choose your Last day of service: today, or a later day of this month, which is already invoiced. The page shows what leaving costs before you confirm: the monthly price for the days since your trial, what was invoiced for them, and the difference. For example, if your trial ended on 14 November, your claim was made on 3 November and was still not decided on 15 December when you cancel, every invoice since your trial charged your term's price, so you pay the difference between that and the monthly price for 15 November to 15 December.
If Footer365 ends your subscription for a material breach after your trial, the fees for the rest of the term that become due are reduced by the credits still to come. If you leave because of something Footer365 did, such as signatures failing for longer than the agreement allows, nothing is payable for credited months still to come. If you leave your term early to switch provider under the EU Data Act, every credit you were given counts as term discount you have used. See Cancel your subscription.
If you are billed through your reseller, the same rules apply to what Footer365 charges your reseller, at its own prices, and your reseller may charge you for it.
